MEDICAL LEGAL OFFICE MANAGER

ABOUT NEXUS
Nexus Medical Legal provides comprehensive operational support for Qualified Medical Evaluations (QMEs), Agreed Medical Evaluations (AMEs), Independent Medical Evaluations (IMEs), Life Care Plans (LCPs), and other specialized assessments. Our team manages scheduling, record intake, quality assurance, and billing coordination, allowing physicians to focus on producing clear, evidence-based medical opinions.
ROLES & RESPONSIBILITIES
- Email and phone management, including responding to inquiries and directing communications appropriately
- Case intake, onboarding, and creation of new case files
- Medical record collection, organization, scanning, indexing, and quality review
- Management of electronic document storage, SharePoint, and central case management portals
- Scheduling patient evaluations, depositions, independent medical examinations, and physician calendars
- Coordinating communication with attorneys, physicians, patients, court reporters, and vendors
- Tracking case deadlines, appointments, and report due dates
- Preparing and distributing appointment confirmations and intake paperwork
- Processing incoming mail, emails, records, and legal correspondence
- Depositing checks and coordinating invoicing and payments with the billing department
- Assisting with accounts receivable tracking using QuickBooks Online
- Maintaining accurate case logs and project tracking within Monday.com
- Providing administrative support to physicians and executive leadership
- Assisting with special projects and executive assistant responsibilities
- Supporting internal staff communication and workflow coordination
- Maintaining confidentiality of medical, legal, and financial information
- Developing and improving office procedures, workflows, and organizational systems
- Performing general administrative duties to support daily business operations
Requirements
QUALIFICATIONS
- Associate's or Bachelor's degree preferred (or equivalent work experience)
- 5+ years of office management, executive assistant, or administrative experience
- Exceptional organizational and time management skills
- Strong written and verbal communication skills
- Professional phone etiquette and customer service skills
- High attention to detail and accuracy
- Ability to multitask and prioritize in a fast-paced environment
- Ability to work independently with minimal supervision
- Proficiency with Microsoft Office 365 (Outlook, Word, Excel, PowerPoint)
- Experience using Monday.com project management software
- Experience with Microsoft SharePoint
- Experience using QuickBooks Online
- Proficiency with Adobe Acrobat Pro
- Comfortable learning new software and web-based portals
- Ability to maintain confidentiality and exercise sound judgment
- Bilingual in English and Spanish preferred
- Experience in the medical, legal, insurance, or medical-legal industry preferred
- Ability to travel to the Calabasas, CA office as needed (approximately 25%)
